MCP Administrative Assistant Position

The MCP Administrative Assistant role will provide administrative support to the Board of Directors and school for approximately 10-15 hours per week during the school year of September – May. The Work You’ll Do

  • Maintains a Parent Resource area and ensures that all displayed information is regularly updated and current.
  • Assists with the storage and maintenance of files, binders, other documents in the office.
  • Support with arrangement/coordination of trainings, meetings, and celebrations.
  • Receives and disseminates mail
  • Assists Chair of Operations by maintaining a supply list for purchases, and distributing orders and supplies once delivered
  • Attend board and staff meetings once per month
  • Conduct inventories and keep school office in order
  • Keep track of what needs to be fixed, and help the volunteer teams and board members know what needs to be fixed, and with board approval liase with church on shared property
  • Work with the church staff on any building related problems impacting the school.
  • Liase with church (landlord)
  • Maintain office and digital files and organize the office as needed
  • Liase with Co-op contract staff, such as bookkeeper, cleaner, landscaper
  • Meet bi-weekly (or more often as needed) with Board President to discuss issues and needs, and with Chair and vice-chairs as needed as issues arise.
  • Reserve rooms with the church as needed
  • Answer school phone when working in the office
  • Check voicemail daily and pass on messages
  • Keep records of attendance at all-school meetings
  • Keep updated record of Teams members as folk join/drop/transfer
  • Call people with reminders of past-due balance, working with Treasurer
  • Organize office and storage spaces as needed. 
  • Communicate with staff, janitor, and other contract staff about schedule changes (field trips, special events, etc). 
  • Organize and maintain google workspace for school administration

 

Requirements for the Role

  • Proficient with Word and Excel, and ability to learn and use other software systems such as Jovial (school registration and billing system)
  • Exceptional organizational and communication skills
  • Ability to work effectively with a variety of stakeholders, including rotating Board members, MCP staff, and members of the community
  • Ability to successfully pass background and criminal history check
  • Ability to bring structure and organization to ambiguity, under the direction of the Board

Who You’ll Work With

You will work with a caring and passionate team who make MCP such a special community. The Board of Directors is composed of volunteer parents from the school who provide rotating support to guide and supervise all components of the school.  You will also work with the incredible MCP teaching staff and North Seattle College Parent Educator team.  This position does not have childcare responsibilities.
